General Rules & Regulations
1. The Cordova Senior Activity Center and facilities may be used by residents of this District and by outside organizations and/or individuals.
2. Organized groups sponsored or cosponsored by this District will have first priority in the use of the Center.
3. All permits for the use of facilities will be restricted to responsible and recognized organizations, groups or individuals.
4. Applicants will satisfy the District that they will be personally responsible or that they will guarantee orderly behavior and that they will underwrite any and all damages due to their use of the facilities.
5. Excluding holidays the Cordova Senior Activity Center is available for use between the hours of
8:00 am and 2:00 a.m. seven days a week on a first-come, first-served basis upon reservation.
6. No application for building usage, other than District sponsored or cosponsored programs, will be accepted more than one (1) year in advance of the date of the activity.
7. A custodian will be on duty at the start of rental activity to unlock the building and will remain until rental activity ends, at which time a general inspection of the room will be done.
8. There must be one adult chaperone for each 20 minors present. Chaperones must be in attendance at all times.
9. District may require renter to provide law enforcement officers.
10. The Cordova Recreation and Park District is not responsible for lost or stolen items during rental activity. Renters are advised to keep valuables locked or in attendance at all times.


Fees/Refunds
1. Activities sponsored by the Cordova Senior Advisory Board, Inc. and approved by the Cordova Senior Activity Center Director are exempt from rental fees at the Cordova Senior Activity Center. However, charges may still accrue for costs over and above routine operating expenses. E.g. salaries and wages, loss or damage.
2. Schedule of fees is as follows
Group A: Cosponsored groups of the District. Two (2) hour minimum.
Group B: Activities sponsored or conducted by volunteer youth serving organizations, the majority of which are 18 years of age and under, who have adult leaders or chaperones. Or, senior serving organizations and nonprofit groups the majority of which are 60 years of age or over. Two (2) hour minimum.

Group C: Business meetings or similar activities of civic or service organizations, nonprofit groups, governmental services or other adult organizations, where there will be no dancing or alcoholic beverages served. Two (2) hour minimum.

3. A $200.00 deposit is required for the rental of any of the rooms.
4. An additional $15.00 per hour (plus the normal room rate) will be charged for each hour or fraction of an hour that the building is used after 12:00 Midnight. If renter exceeds allotted time, balance due will be deducted from the deposit. If application form is falsified or building and/or equipment is damaged, deposit will be forfeited.
5. Payment of rental fees for use of facilities will be made at the Senior Activity Center Office at the time that the permit is issued; which shall be at least twenty-one (21) days prior to the scheduled use.
6. Fees may be waived by the Board of Directors of the District.
7. Groups or individuals renting a Senior Center room will pay for the amount of time that they are actually using the facility and denying other use, to include pre-activity setup and post- activity clean up.
8. Kitchen facilities are included in the full multi and west half multi rental fee. Coffee pot usage should be specified when reserving the building.
9. No rice, bird seed or any other materials will be permitted to be thrown in the buildings! Violation will result in forfeiture of the building deposit.
10. Room must be left by renter in a condition similar to that in which it was found for deposit to be refunded. Tables and chairs must be clean, floor free of trash and spills, and garbage in receptacles. Facility must also be free of damage incurred during use by renter. Decision of attending custodian as to condition of the facility will be final! Refund may take up to four (4) weeks for processing.
11. If renter cancels more than 60 days prior to their event, 75% of the deposit will be refunded.
For cancelations occurring 30 to 60 days prior to scheduled date, 50% of deposit will be refunded. Cancelations made less than 30 days prior will result in 100% forfeiture of deposit.
12. In case of extreme emergency, the District reserves the right to cancel a scheduled event prior to scheduled use without liability. Refunds will be made if cancellation is necessary. The applicant may initiate cancellation forty-eight (48) hours prior to a scheduled event, however, if cancellation is made later than 48 hours, the fee is nonrefundable.
13. Renter shall be responsible for paying the cost of replacement of any item that is lost, stolen or damaged during the time that they have the building leased.
14. Violation of any of the rules and regulations as stated herein may result in forfeiture of building deposit and group and/or individual being denied privilege of future facility usage.


Cleaning and Decorating
1. General pickup of trash and waste disposal will be done by users.
2. Any decorating materials must be cleared through the Senior Activity Center Office. Scotch tape, thumb tacks or staples may not be used. Masking tape may be used. Only underwriter approved decorations may be used.
3. Groups using the kitchen will dispose of all trash. Please use cans as marked. The garbage disposal unit is for foods only.
4. Stoves, grilles and ovens will be cleaned properly after usage.
5. Dish towels, clothes or any other utensils will not be furnished by the District.
6. Renter is responsible for cleaning the kitchen, putting trash in containers provided, cleaning tables and chairs and mopping kitchen floor.
7. Do not submerge bottom of coffee makers in water. Do not dump coffee grounds into sink.
8. The following rules and regulations shall be enforced at all times for persons using the kitchen facilities to comply with Sacramento County Ordinance No. 735, Section 27:
a. Exit door to the outside shall be closed when food is being prepared.
b. The ventilation or exhaust fans, located over the oven and grille, shall be in operation at all times when food is being prepared. (Switch is located to the left of the refrigerator).
c. Procedure for washing dishes:
1. The first sink shall contain soap or detergent. Water temperature shall be maintained at 120 degrees F.
2. The second sink shall contain clear hot rinse water.
3. The third sink shall contain a chlorine or bacterial solution. Use 12 tsp. luclor to 1/2 sink water 1 tsp. per gal. water.


Insurance Coverage
1. All individuals, groups or organizations renting Senior Activity Center room will obtain a certificate of liability insurance in the minimum amount of $300,000, naming the Cordova Recreation and Park District as additional insured with additional insured endorsement. Coverage is available through the District’s insurance carrier also.
2. The individual or group reserving the building is responsible for obtaining the certificate of insurance in their name. Falsification of Room Use Permit will result in forfeiture of building deposit and denial of future building rental.
3. It is recommended that the $300,000 certificate of insurance be obtained from renter’s home- owners insurance company, if available. Agent may be able to provide certificate for a minimal cost or at no charge. Insurance certificate is also available through the Senior Activity Center Office if necessary.


Alcoholic Beverages
1. Alcoholic beverages may be served at the Cordova Senior Activity Center, but may not be sold under any circumstances (State Law). In the event that alcohol is to be served, the responsible party agrees to comply with all State Laws regarding the sale and consumption of alcoholic beverages.
2. Alcoholic beverages may be served in the room and immediate area of the room only. No alcoholic beverages will be permitted in the pool area.
3. All cans and bottles will be disposed of in provided containers.
4. This permit to serve alcoholic beverages may be issued providing that a youth activity is not scheduled in an adjacent room.
